Accounting Administrative Assistant
MISSION
The Accounting Administrative Assistant provides day-to-day support for multiple disciplines within the accounting department by delivering accurate results utilizing established procedures. This position offers opportunity for growth while working with and learning from some of the electrical industry’s best in a challenging, fast-paced, fun environment.
RESPONSIBILITIES
• Assist in the retrieval of missing invoices from vendors.
• Prepare and process accounts payable, wire transfers and ACH payments.
• Reconciliation of general ledger and bank statements.
• Track all collections and follow-up with Division as necessary.
• Review and process change requests and customer change orders.
• Data entry for job set up routines including budget and custom phase codes.
• Produce reports; job close out, earned hours, equipment allocations, approved subcontractor list, etc.
• Maintain union pay rates and schedules.
• Data enter new hire set up and employee reward management.
• Perform Certified Payroll XML important and manual data entry as required.
• Employment verification, wage levy setup and EDD reporting for union employees.
• Additional projects/duties as requested.
SKILLS
• Analytical skills: ability to understand the correlation between each accounting module and the general ledger.
• Ability to accept responsibility and ownership as it relates to the position’s duties and expectations.
• Basic accounting skills; (1) journal entries, (2) reconciliation, (3) research and problem solving, (4) reporting.
• Maintain records and files in an organized manner for prompt retrieval.
• Strong mathematical skills; basic arithmetic and pre-algebraic functions.
• Costings skills: strong knowledge of project costing, use of cost coding structures and their importance as the basis of professional accounting systems.
• Experience with Spectrum preferred. Timberline, Viewpoint or QuickBooks acceptable.
REQUIREMENTS
• High School Diploma
• Four years experience in an administrative accounting role.
• Two years Construction industry experience in administrative or accounting role.
• Proficiency in relevant computing applications (MS Word, MS Excel, MS Outlook, web browser)
