Administrative Assistant – Solar
A-C Electric Company has an immediate need for an Administrative Assistant who is a strong team player with excellent interpersonal skills and a positive attitude. RESPONSIBILITIES:
- Sales Support
- Provide Sales staff support in all areas as needed
- Event coordination and support
- Receive leads and upload into Salesforce
- Make first contact with leads, as requested
- Gather PG&E usage information
- Coordinate with lenders for proposal creation
- Creat draft contract for review
- Utilize Outlook for email calendaring
- Data enter edits to sales process flowchart
- Data enter into Salesforce, opportunities, upload docs, print proposal packages
- Maintain SOQ (Statement of Qualifications)
- Maintain sales PowerPoint presentations
- Maintain Client status log
- Commercial Project Coordination
- Schedule site audits
- Contract administration
- Custom issues document
- Create and maintain project schedules
- Coordination with customers, designers, and divisions (Pre-Construction Phase)
- Assist with POs and COs
- Assist with material, equipment and subcontract RFQs
- Assist with assemble and turnover documents to customer
- Utility interconnection documents
- Prepare and submit lender closeout documents
- Develop custom spreadsheets on request
- Spectrum, job setup, update custom issues

MS Office, MS Projects, Adobe Acrobat, Salesforce, LinkedIn, Lucid Chart, Spectrum
SKILLS:
• Analytical skills: ability to understand the correlation between each accounting module and the general ledger.
• Ability to accept responsibility and ownership as it relates to the position’s duties and expectations.
• Basic accounting skills; (1) journal entries, (2) reconciliation, (3) research and problem solving, (4) reporting.
• Maintain records and files in an organized manner for prompt retrieval.
• Strong mathematical skills; basic arithmetic and pre-algebraic functions.
• Costings skills: strong knowledge of project costing, use of cost coding structures and their importance as the basis of professional accounting systems.
• Experience with Spectrum preferred. Timberline, Viewpoint or QuickBooks acceptable.
REQUIREMENTS:
• High School Diploma
• Four years experience in an administrative accounting role.
• Two years Construction industry experience in administrative or accounting role.
• Proficiency in relevant computing applications (MS Word, MS Excel, MS Outlook, web browser)
