Description

Mission: 

Buyer plays a critical role in ensuring project continuity by sourcing, ordering, and delivering materials that meet construction schedules and specifications. This role balances tactical execution (processing requisitions, competitively bidding for lowest TCO, issuing purchase orders, and reconciling changes) with proactive communication to the field and vendors to align expectations. By building strong vendor partnerships, supporting foremen and superintendents in planning, and minimizing supply risk, Buyer directly contributes to efficient project execution, cost control, and the company’s long-term goal of developing a culture of proactive material planning.

Key Responsibilities: 

  • Adherence to Policies: Follow department policies, procedures, and processes related to material ordering activities and assignments, ensuring consistency and compliance in all procurement actions.
  • Requisition Management: Monitor, prioritize, and process material requisitions in Kojo, ensuring accurate tracking from submission through PO issuance. This role focuses on tactical, quick-turn orders (materials required within five business days or less) while coordinating closely with the Senior Strategic Sourcing Analyst on long-lead LOT and advance buyout purchase orders. Buyer must proactively communicate with requisitioners when vendor lead times cannot meet field expectations, providing alternative sourcing options or realistic delivery timelines. Success in this area requires working closely with Foremen, Superintendents, and Project Teams to encourage weekly interval planning, consolidated bills of materials, and improved lead-time management. Additionally, Buyer partners with vendors to ensure recurring materials are stocked and available, reducing lead times and minimizing field disruptions.
  • Competitive Bids & Surplus Coordination: Conduct competitive bid activities by requesting and evaluating vendor quotations using total cost of ownership (TCO) factors such as price, lead time, freight terms, and vendor performance. Buyer ensures that all bids are reviewed for accuracy, alignment with project requirements, and compliance with company standards before recommending award. In addition, Buyer collaborates with the Material and Equipment Coordination (MEC) Teams to identify and promote the use of surplus electrical materials, reducing costs, minimizing waste, and supporting project schedules through more efficient resource utilization.
  • Execute Purchase Orders (POs): Process purchase orders in Kojo with a high degree of accuracy, ensuring alignment of material descriptions (requisition à quotation à order), unit pricing, quantities, delivery schedules, phase codes, and material specifications. For quick-turn orders, POs should be issued the same or next business day. For larger bills of materials with adequate lead time, competitive bids must be solicited and evaluated before PO award. Buyer maintains accurate order records, ensures finalized POs are distributed to vendors and project teams, and organizes all supporting documentation in Kojo for centralized access. Revision requests must be reviewed and processed promptly, with updates accurately reflected in both Kojo and Spectrum ERP systems. Escalate conflicting vendor terms and conditions to the Director of Procurement as needed.
  • PO Reconciliations: Responsible for reconciling purchase orders when materials are canceled, no longer required, missed in delivery, or alternatively sourced. Buyer ensures accurate budget tracking, prevents financial discrepancies, and supports timely vendor payments by closing out open commitments in a thorough and timely manner. This role requires proactive coordination with vendors, project teams, Procurement Support, and Accounts Payable to confirm invoicing status, resolve outstanding issues, and finalize PO closeout. Success in this area is measured by Buyer ability to maintain clean financial records, complete reconciliations within expected timelines, and communicate effectively with stakeholders to prevent discrepancies or delays in project execution.
  • Continuous Improvement: Identify inefficiencies in procurement processes and actively contribute to best practices that improve speed, accuracy, and cost control. Buyer plays a role in driving the company’s long-term culture shift toward proactive field planning and five-day lead times by reinforcing expectations with requisitioners and vendors, sharing feedback with leadership, and helping implement system enhancements. Meeting department OKRs, supporting adoption of Kojo Procurement Software, and contributing to measurable improvements in procurement workflows are key to success.

Skills, Qualifications and Requirements:

  • Education & Experience: Bachelor’s degree in Supply Chain, Accounting, Finance, or Business Management preferred, but not required.
  • Industry Background: 10+ years of experience in procurement, supply chain, electrical construction, or electrical distribution preferred.
  • Material Knowledge: Familiarity with electrical construction materials and the ability to source alternative vendor options preferred.
  • Procurement Experience: 5+ years of purchasing or procurement experience preferred. Experience managing RFQs, evaluating supplier proposals based on TCO principles, and issuing purchase orders in alignment with project and budget needs.
  • Systems Proficiency: Proficient in Microsoft Office (Excel, Outlook, Word). Experience with ERP and Procurement Software solutions is essential.
  • Communication Skills: Strong written and verbal communication skills with the ability to collaborate across teams and maintain professional vendor relationships.
  • Attention to Detail: High degree of accuracy in data entry, pricing, and documentation to ensure clean purchase order processing and financial reporting.
  • Initiative & Problem Solving: Self-starter who can adapt to shifting priorities and solve material sourcing issues under tight deadlines.

Pay Range: $65,000 - $100,000.  Pay offered may vary depending on multiple individualized factors, including market location, job-related knowledge, skills, and experience.  The total compensation package for this position may also include other elements dependent on the position offered.
